Personal Assistant to CEO The Nightingale Cancer Support Centre Enfield, Greater London (On-site) £18K per year (3 days a week in office) Interim – minimum 6 months Key overview • To provide high level administrative support to the CEO, facilitating and ensuring the smooth running of the CEO’s schedule, engagements, correspondence, and key projects • Maintenance of diary ensuring reminders for annual checks, certificates, lease and contract renewals etc • Support the CEO with facilities management, securing and booking contractors, tradespeople and other support personnel such as IT to ensure the smooth running of both the office and retail premises • Ensure all records, files and correspondence are properly filed and stored in accordance with GDPR • Maintaining a strict code of confidentiality in every aspect of the role. Main responsibilities HR support • Schedule monthly CEO meetings with Centre staff and quarterly meetings with retail arm • Schedule annual and 6-monthly objectives setting reviews for CEO with all employees • Working with CEO and HR consultant, ensure employee handbook and all HR processes are reviewed annually and updated according to current HR legislation and best practice • Support the volunteer coordinator to ensure the Volunteer Handbook is reviewed and updated as necessary • Support the CEO to identify, organise and deliver annual training and team building activities as required for employees and volunteers. H&S support • Work with CEO and H&S consultant to ensure H&S handbook is reviewed annually and updated in keeping with current legislation • Support the CEO to identify and deliver annual H&S training as required for all employees and volunteers to ensure they are fully up to date with H&S training • Assist CEO with timely reminders to review/renew all annual safety certification. Board secretary • Organise and schedule Board meetings including agenda in collaboration with the CEO and Chair of Trustees • Working with the CEO, assist with the preparation of all Board papers, reports, presentations as relevant and minutes to circulate to Trustees.
